New Online Platform for applicants that are still abroad

Employers applying for a single permit on behalf of a still-abroad applicant, can now do so online by logging on to www.singlepermit.gov.mt.

In order to do so, registered companies with MFSA can (i) login to www.singlepermit.gov.mt using their E-ID credentials, (ii) fill in the applicant’s and employer’s details, (iii) upload the necessary documentation and (iv) proceed to payment. An (v) invitation letter will be sent to the still abroad applicant’s email address who will be asked to (vi) verify the application, (vii) fill in personal details and (viii) upload any further documents. Once this is ready, the application will be processed by Identity Malta Agency and progress update will be available in real-time. Upon approval, successful still abroad applicants are expected to proceed to Malta in order to finalize their application, including the capturing of biometric data.

How to Apply Online?

For employers to apply online, they must fist apply for an organisation E-ID account.

A. Applying for Organisation’s E-ID Account

  1. Users must make sure that they have an active personal E-ID account;
  2. Purchase and install the required software as specified in the e-ID Reader Guide;
  3. Follow the video below for guidance on how to install certificates and export one’s personal digital certificates.

B. Employers Applying Online for a Still Abroad Applicant’s Single Permit

Employers applying for a single permit on behalf of a still-abroad applicant, can now do so online by logging on to www.singlepermit.gov.mt.

When applying online for a Still Abroad Applicant’s Single Permit, employers need to:

  1. Click on Login;
  2. Enter their personal E-ID account Username and Password;
  3. Continue to Residence Single Permit;
  4. Proceed to Manage Your Application;
  5. Select Organization;
    1. Click on Create New Application.
  6. Fill in applicant’s Personal Details in full and click Next;

[Date of Birth and Travel Document Number will be used at a later stage by the applicants themselves in order to verify their authenticity when logging in to finalize their application]

  1. Fill in the applicant’s Residence Detail;
    1. If local address is still unspecified, tick Unknown and then click Next.
  2. Fill in the Employer’s Details;
    1. Fill in Job Title, Place of Work, Start and End Date together with Annual Gross Income;
    2. Fill in Employer’s Contact details and then click on Next.

[At this stage the Employment license number would not be issued yet by Jobsplus]

  1. Proceed to Document Upload and choose Generic from the drop-down menu;
    1. Upload the required compulsory documents;
    2. Click Next.
  2. Employers will then be navigated to the Application Summary and Payment screen;
    1. Payment may be either processed by the employers or the applicants themselves;
    2. If the applicant is going to pay, then the employer will choose Applicant Shall Proceed with this Payment option;
    3. If not, then the employer will click Proceed to Payment and enters card details;
    4. Click Continue and Payment Confirmation appears;
    5. Click Send to Applicant;
  3. An invitation email will be sent to the applicant’s email address;
  4. By clicking on the application in the manage application screen, employers can withdraw, modify and resend invitation email to applicants.

C. Applicants Receive Invitation Letter to Proceed with Application

Upon receiving the invitation email, still abroad applicants will proceed to verify and finalize their application.

  1. Applicants will receive the invitation letter and should click on the embedded link;
  2. For authenticity purpose, applicants will need to enter their Date of Birth and Travel Document Number, and then click Next;
  3. In the Personal Details page, applicants would need to choose whether to apply for an E-ID account;
  4. Applicants will need to go through the abovementioned screens in order to confirm that the information keyed is correct;
    1. If there is a need for amendments, applicants will click on Request Correction and will be requested to provide comments which will be included in the notification email sent to the employer for modification.
  5. In the Document Upload section, applicants will need to upload (i) a copy of his/her passport and (ii) CV as part of the Compulsory Documents required for submission;
    1. Click Next.
  6. The Application Summary will appear, and the applicants will proceed to payment, if this was not already done by the employer.
  7. The applicant will then submit the application to the employer.

D. Employers Submit Application

Once employers have been notified that the applicants have confirmed the application, the employers need to:

  1. Login again to singlepermit.gov.mt;
  2. Choose Application;
  3. Click Submit Application after being redirect to the Summary Page.

Once this is ready, the application will be processed by Identity Malta Agency and progress update is available in real-time.

Upon approval, successful still abroad applicants will be expected to proceed to Malta and finalize their application..
